How the school handles your data, your work and your account.
Plain-English summary
Your records stay inside your school, your coursework is stored privately, and every change to a grade, register or role is logged with a name and a timestamp. You can ask for a copy of your data at any time.
Data protection
We collect only what the school needs to run: identity and contact details, enrolment, attendance, submitted coursework, marks and feedback, and a record of who changed what.
Records belong to a single school. Access is enforced in the database, so a member of staff at another school cannot read your data even if they reach the same page.
Coursework files are held in private storage. Links to them are short-lived and generated only for people entitled to read that submission, the student who submitted it and the staff who mark it.
Retention
Academic records, enrolment, attendance, marks and feedback, are kept for the duration of study and for seven years afterwards, in line with statutory reporting duties.
Uploaded coursework is kept for the current academic year plus one year, then deleted unless it forms part of an appeal or investigation.
Audit entries are append-only and retained for three years. They can be read by school leadership and by the person the entry is about.
Acceptable use
Accounts are personal. Do not share your password, sign in on someone else's behalf, or leave a session open on a shared device.
Submit your own work. Where a tool has been used to help produce it, say so in the submission notes; undeclared use is treated as an academic integrity matter.
Messages sent through the portal are school communications and may be reviewed for safeguarding purposes.
Assessment and marking
Deadlines are enforced by the system clock. Work submitted after the deadline is recorded as late; whether lateness carries a penalty is set by the department.
Marks are provisional until the assignment is returned. Teachers may request changes and reopen a submission for resubmission.
Only staff who teach or oversee a class can enter marks for it, and every grade change is written to the audit log with the marker's name and timestamp.
Attendance
Registers are taken per class, date and period. Statuses are present, late, absent and excused.
Excused absences require notice from a parent or guardian to the school office. Amendments are made by the class teacher or a head of department and are logged.
Persistent absence below the school threshold triggers pastoral follow-up rather than an automatic sanction.
Your requests
You can ask for a copy of the personal data we hold about you, ask us to correct it, or object to a specific use. Write to the data protection lead at reloadedwebsolution@gmail.com.
We respond within one calendar month. If a request touches another person's records, we redact their details before releasing anything.
